Collection and use of personal data belonging to customers, suppliers, contractors and other business relations

We would like to draw your attention to the fact that we will collect and use the personal data you provide to us because you have authorized us, because this is necessary for the execution of our legitimate interests or because this is necessary to conclude and perform a possible agreement with you.

If you are a business relation, we will use your personal data to contact you for the purpose of serving our company interests. For example discussing a potential future cooperation, supplying and gathering information, maintaining our network or sending (digital) newsletters concerning the core activities of Sormac B.V.

If you are a (potential) customer of ours, we will use your data to be able to send you an offer, to be able to determine what specifications or wishes certain products or services must satisfy, in order to be able to deliver products or carry out the activities for you, in order to be able to invoice you and to be able to communicate with you quickly and efficiently concerning the implementation aspects of the agreement.

If you are a (potential) supplier or another contractor, your personal data is also required for concluding and performing the agreement. In case of purchasing, this is necessary in order to be able to inform you what specifications or wishes certain products or services should satisfy in our opinion, to be able to send a request for an offer or to place an order with you, to be able to pay your invoices and to be able to communicate with you quickly and efficiently concerning other aspects if the agreement.

You are not obliged to provide your personal data to us. If you do not provide personal data to us or provide us with insufficient personal data it may be the case that we will not be able to carry out the above mentioned activities.

Sharing of personal data

We may share personal data with affiliated companies such as Sormac Inc. or other subsidiaries / parent companies. Within and between Sormac affiliated companies, access to personal data is granted on a need-to-know basis.

The international footprint of Sormac subsidiaries can require the transfer of Personal Data between several countries.

Where required, Standard Contractual Clauses as approved by the EU Commission are implemented.

Transfer to third parties

In case you are a business relation your personal data will be part of our contact data files.

If you are a (potential) customer or (potential) supplier your personal data is part of our sales and purchasing administration.

We might use external server space for the storage of (parts of) our contact data files and/or (parts of) our sales and purchasing administration which include your personal data. Your personal data can therefore be provided to our service provider. We use Microsoft Office and the related storage facilities for e-mails and other files. We also use an ERP-system which includes your personal data.

In connection with the performance of a possible agreement with you it may be necessary to provide your personal data to parties that supply parts, materials or products to us or who perform activities on our instructions.

Because we might use a newsletter mailing service, your personal data could be provided to the contractor that will execute this service on our behalf.

Direct marketing

In case you as a customer have a long-term relationship with us, we will store and use the personal data you have provided us with in order to be able to inform you personally by e-mail in the future of our existing and new products and services and possibly make you an offer in this connection. We have a legitimate interest in using your personal data for this purpose, namely selling our products and services. Every time we send you a marketing e-mail, you have the option of informing us you no longer wish to receive such e-mails. Therefore please refer to the opt-out link at the bottom of each mailing.

In case we do not (yet) have a long-term relationship with you, we will only send you marketing e-mails if you have granted us your approval to do so in advance.

(Customer Satisfaction) Survey

In case you have had contact with us as a (potential) customer, we may store and use your personal data in order to personally contact you in the future and request cooperation for a (customer satisfaction) survey. For the use of your personal data for this purpose we have a legitimate interest, being the improvement of our products, services and processes. Each time we contact you for a (customer satisfaction) survey you have the option to inform us you no longer wish to receive such surveys.

Retention period personal data

We will retain your personal data for as long as necessary to fulfil the purpose we collected it for, unless there is a legal ground that obliges us to retain the personal data longer for the purpose of satisfying any legal requirements. For example an obligation to keep our records of the sales and purchasing administration for the Tax and Customs Administration for a period of 7 years.

Camera surveillance

For the purpose of protecting our company properties Sormac uses camera surveillance. The surveillance is only applicable to the outside area and parking lot.

Therefore a physical visit to our company property will be registered.

The storage period for the recorded images is at most 4 weeks after recording unless at appears that this period is not sufficient in the context of a registered incident.

The recorded images will only be stored internally and are exclusively accessible for our managing board and head of security.

Changes to our policy

We reserve the right to make changes to our policy on the protection of personal data or the use of cookies. Any changes will be posted via this statement on our website. 

Your rights

You have the right to request to inspect your own personal data. If there is reason to do so, you may also request us to supplement your personal data or to correct inaccuracies. You also have the right to request that your personal data is to be deleted or that the use of your personal data is to be limited. You can also submit an objection to the collection and use of your personal data to us or submit a complaint to the Dutch Data Protection Authority. And finally, you have the right to request to obtain your personal data or that they are transferred to another party.
